Theta Lake makes the whole conversation count

A meeting is more than a recording. Theta Lake captures the words, screens, chats and AI exchanges that regulated businesses need to keep - and helps people find the risky bits.

At Osaic, a wealth management network, approving an advisor’s video could once involve a surprisingly physical object: a DVD in the mail. Meanwhile, employees were recording Zoom meetings and keeping the files. The conversation had moved online. The machinery for supervising it was struggling to follow.

Theta Lake’s opportunity lives in that gap. The company captures business communications, preserves them and helps reviewers identify potential risks. Its subject is everything that happens around the familiar meeting window: speech, chat, shared screens, documents and, increasingly, conversations with AI.

The quick read
  • Capture communication across supported workplace tools.
  • Keep the context, then search and replay it.
  • Flag potential risks for compliance and security reviewers.

The record button had a hidden bill

Osaic’s first approach required people to upload, download, manage and review recordings, then document the supervision. Its published case study puts the cycle at upwards of 100 minutes of staff time per video. This was the first thing to buckle: the process surrounding the file.

The firm adopted Theta Lake’s automated capture and review workflow, alongside a decision about which employees should be allowed to record. Potential issues appeared on a timeline. Recordings flowed into an archive without employees transferring them manually. Osaic reported saving 3,300 hours a year.

The useful lesson is almost mundane. Before asking reviewers to work faster, count the handoffs. Automation became valuable here because it removed file handling and directed attention to likely problems. The software also arrived with a change in recording permissions. Buying a tool was only part of the intervention.

A transcript cannot see the screen

Devin Redmond and Rich Sutton founded Theta Lake in 2017. Their premise was that communications compliance needed to catch up with the tools people actually used. An email-centric archive was an awkward fit for a workplace where someone could speak, post a link and show a spreadsheet in the same minute.

Theta Lake combines machine learning, natural language processing, speech analysis and visual analysis to inspect different kinds of content. A reviewer can investigate the conversation around a flagged moment rather than encounter an isolated keyword. That distinction matters when meaning sits in an image, a screen share or the exchange surrounding a message.

Its product architecture follows the evidence. Unified Capture gathers communication data. Search, discovery and replay make it usable. Proactive Compliance adds risk detection and review workflows. Customers can use Theta Lake’s archive or send captured material into an existing archive of record. That gives a compliance team an option beyond replacing everything at once.

There is another, less photogenic task: reconciliation. Capturing a message is useful; checking that expected records arrived is useful too. Theta Lake offers reconciliation capabilities alongside its capture tools. For a buyer, the practical question is whether the system can reveal a missing record, rather than simply display the records it successfully collected.

The people selling the meeting bought in

In March 2022, Battery Ventures led a $50 million Series B. New investors included RingCentral Ventures, Salesforce Ventures and Zoom; Cisco Investments joined existing backers in the round. These were businesses with a practical interest in helping customers use more communication features.

Redmond described compliance and security as something that should enable the business. A firm that can retain and supervise a meeting’s chat has less reason to switch that chat off. Theta Lake sells into the space between a platform’s capabilities and a customer’s permission to use them.

The business model is enterprise cloud software sold through subscriptions, with customers selecting capabilities and working through a sales process. The purchasing calculation includes the labor and storage a workflow consumes. At Reeves Independent, another published customer, growing Zoom recordings created storage, retention and review problems; the firm reported reduced storage costs and faster review after adopting Theta Lake.

Financial services supplies the clearest customer examples, including Osaic, Attivo Group and Tupicoffs. The company also serves other industries. In March 2026, it reported adding more than 140 customers in the preceding year, with customers across more than 12 countries. Public hiring spans remote roles in the United States, United Kingdom and ANZ: a distributed company building for distributed work.

The budget question deserves the same specificity. A customer needs to price the channels and capabilities it will use, then account for retention, deployment and staff review. Osaic’s hours saved describe one source of value; Reeves’ storage experience describes another. Neither result supplies a ready-made return for a different firm. Measure the current workload before comparing a subscription quote with it.

Now the other participant is an AI

The next communication trail includes prompts, responses and generated summaries. In May 2026, Theta Lake announced a direct Claude Compliance API integration, extending retention, investigation and legal hold workflows to Claude activity. An August integration sent AI interaction governance signals into CrowdStrike Falcon Next-Gen SIEM, where security teams can connect them with other evidence.

The company’s October 2026 writing on eDiscovery and legal hold follows the same direction: business records extend beyond email. The underlying question keeps returning in a new interface. When someone asks what happened, can the organization retrieve the exchange and explain its context?

This is a competitive market. Smarsh, Global Relay and Proofpoint also offer communications capture and archiving, with supervision and investigation capabilities. Theta Lake’s case rests on its integrations, contextual review and flexibility around existing archives. Buyers should test those claims with their own communication samples and workflows.

The conditions matter. A platform can inspect only the content its configured integrations collect. An archive cannot make a vague retention policy precise, and a risk flag still needs interpretation. The sensible trial follows a real conversation across tools, checks what survives, and measures the reviewer’s work. Theta Lake’s customer stories are persuasive when they describe that work disappearing: fewer transfers, fewer manual steps, more time to decide what the conversation means.
