TEAM Software turns the night shift into numbers that add up

A guard clocks in. An invoice goes out. TEAM Software by WorkWave connects the work between those moments - and makes a persuasive case for giving the spreadsheet a night off.

At Phelps Security, payroll used to consume five days. The Memphis firm had built its own MS-DOS scheduling system, tried a replacement, then retreated to the old software and paper. The replacement was expensive, inaccurate and poorly supported. Buying something newer had made the work worse. By 2014, the question was whether to build again or find software that could carry a shift through to payday.

That is an unusually good introduction to TEAM Software by WorkWave. Business software often sells a future. TEAM’s proposition begins with the present: somebody worked, somebody must be paid, and somebody else must receive an accurate bill. Between those three events lies a remarkable amount of clerical exercise. A spreadsheet is cheap until it requires a small entourage.

01 / A shift has two prices

For a security contractor, a scheduled shift carries both a cost and a customer charge. A full roster does not, by itself, explain whether a contract earns money. WinTeam, TEAM’s core enterprise resource planning product, connects workforce records with financial management. Scheduling, payroll, receivables, payables and job costing become parts of the same operating picture.

Think of it as following one hour rather than collecting more dashboards. Who was assigned? Who arrived? What needs correcting? What should the employee receive? What belongs on the invoice? The practical attraction is that the hour can move between departments without someone repeatedly introducing it. Those questions also give a prospective buyer a far better demonstration script than “show us your features.”

02 / The office gets its week back

Phelps chose WinTeam as maintaining or rebuilding its own system became impractical. Scheduling and timekeeping fed payroll, with exceptions handled along the way. The company reported reducing processing to half a day, a 90% cut. This was a customer account published by TEAM, rather than a promise that every buyer receives the same result.

A cleaning contractor supplies a second, quieter example. Coastal Building Maintenance implemented WinTeam on January 1, 2016. Purchasing work that had taken one to two days reportedly shrank to one to two hours. Controller Agatha Velez estimated 40 hours of weekly savings across the business. The revealing detail is the implementation: TEAM and the customer evaluated how changes would affect different departments. Integration required conversation as well as software.

The lesson travels beyond cleaning. Map the repeated entry, reconciliation and approval around a job before buying another application. Assign responsibility for each exception. A connected system can remove copying; it cannot settle an argument about who approves a disputed time record. That is a management decision wearing a software costume.

03 / Built for people who work elsewhere

TEAM concentrates on companies whose employees spend their working lives away from the office. Its current pricing page emphasizes commercial cleaning and security businesses with more than 100 employees. Public customer examples include Allied Universal, Janitronics and Inner Parish Security Corporation. The specialization is concrete: staffing posts, documenting service and understanding the economics of individual contracts.

The surrounding products cover different stages of that work. Hire by WorkWave handles applicants, screening and onboarding. Lighthouse gives supervisors mobile tools for tasks, inspections, incidents and location visibility. eHub provides employee and customer self-service; TeamTime captures attendance. The attraction is the route connecting these activities, particularly where recruitment, service delivery and payroll otherwise live in separate administrative worlds.

Within the wider market, Trackforce offers physical security operations software. Contractors can also assemble separate scheduling, accounting and payroll tools. TEAM’s distinguishing offer is industry-specific ERP that brings those functions together. Breadth has a price in organizational effort. A small operator seeking a straightforward roster may have little reason to reorganize its finances around a larger system.

04 / The $330 million connection

TEAM’s incorporation dates to 1989, with Frank Labedz serving as its first president and CEO. Its ownership journey passed through employee ownership and an Accel-KKR investment announced in 2018. Acquisitions of Britain’s Innovise and Australia’s Facility ERP expanded its international presence. WorkWave’s acquisition closed on September 30, 2021. Accel-KKR lists the sale at $330 million in adviser Jason Klein’s biography.

For customers, the buying process is consultative and pricing is tailored. A useful quotation should connect the proposed modules with implementation, integrations, training and ongoing service. The economic test is mundane but exacting: which hours disappear, whose work changes, and what happens when a record is wrong? Administrative time saved becomes valuable when the business can use it elsewhere.

Specialization does not mean closing the doors. TEAM’s Concourse integration portal includes ADP for payroll tax, Avalara for sales tax and DailyPay for earned wage access. Hire is an Indeed ATS Silver Partner. These connections let the ERP remain central while specialist services handle particular jobs. The system’s boundaries are part of its design.

05 / Better records before clever predictions

The newer chapter adds analytics and mobile verification. Wavelytics combines data infrastructure and analysis, with Snowflake and Sigma supporting the offering. Decision Intelligence focuses on labor signals such as overtime, absences and contract performance. Its product page also labels roadmap items; an advertised future capability deserves a different weight from a feature demonstrated today.

That mobile launch supports offline time tracking and geofenced capture. In September 2026, parent WorkWave announced an AWS modernization initiative for its cloud and AI infrastructure. The direction is clear enough. The harder measure remains whether managers receive reliable information and act on it. A warning about overtime does not cover tomorrow’s shift. Someone still has to pick up the phone.
