Wizehire sells the hiring department you forgot to hire

Small businesses need someone to mind the hiring process while they mind the business. Wizehire pairs software with human coaches - and its new owner, Paychex, has a much bigger front door.

At Baystate Financial, the problem was abundance. Job boards delivered applicants; the recruiting team still struggled to find the right people across multiple offices. The inbox was doing splendidly. The hiring operation was less impressed. In Wizehire’s published case study, financial planner hires rose from four to eleven within a year after Baystate adopted the platform. The interesting question is what happened between receiving a résumé and making an offer.

Wizehire works in that middle territory. It distributes jobs, collects applications, helps evaluate candidates, and keeps conversations moving. Its customers include hotel operators, law firms, real estate teams, restaurants, and professional services businesses. These are organizations where the person responsible for finding the next employee often has another rather demanding occupation: running the place.

A hotelier’s son notices the missing job

Co-founder and CEO Sid Upadhyay grew up in his family’s hotel business. Before Wizehire, he and co-founder Jay Niblick developed evaluation tools for Fortune 500 companies. He wrote Wizehire’s original code in 2014. Nick Carneiro, previously on product and engineering teams at Indeed, joined as the third co-founder in 2015. The ingredients were enterprise assessment expertise, job-board experience, and familiarity with the small business owner’s crowded day.

The company’s proposition follows from those beginnings. Large employers can employ recruiters and specialists. A smaller employer may be writing a job description between customer appointments. Giving that person more software creates another responsibility unless somebody also explains how to use it. Wizehire sells tools alongside advice about the task those tools are supposed to accomplish.

The coach beside the dashboard

The software bundles familiar recruiting functions: applicant tracking, industry-specific job templates, distribution to more than 100 job boards, screening questions, and candidate communication. Wizehire Coaches advise on job-post quality, local labor markets, and posting performance. That combination is its distinguishing emphasis in a market where Workable and Breezy HR also offer recruiting workflows and automation. Choosing among them calls for examining the support you need as carefully as the features.

Scout, Wizehire’s built-in AI assistant, reviews candidates, highlights matches, and recommends next steps. It can also help arrange interviews through a connected calendar. The division of labor is fairly legible: software handles repeated sorting and coordination; a coach helps the employer interpret the situation; the employer decides whom to hire. Scout is included with every subscription, although matching across past jobs is a Growth feature.

DISC+ adds an optional behavioral and motivational assessment, usually taking ten to fifteen minutes. It offers information about communication styles and motivations, along with interview guidance. Those results are useful prompts for questions. Treating a personality score as a verdict would ask the assessment to do the interviewer’s job. A role still needs relevant evidence of competence, and a candidate still deserves a conversation.

Baystate’s account describes automated templates, applicant ratings, and analytics helping recruiters concentrate on promising candidates. Its regional recruiting director, Ashley Harris, says the process became “faster and more effective.” The reported increase from four financial planner hires to eleven is concrete. Calling it proof that candidate quality improved by 175 percent would be a stretch: the count measures hires, and the case study does not isolate every cause.

Another case study follows a Pittsburgh-area Papa John’s franchise operation with more than twenty locations. Operations vice president Dan Krug describes earlier platforms delivering an initial burst of applicants, followed by little activity and difficult contracts. The published account reports staffing approaching 90 percent after just over a year with Wizehire. Both stories point toward continuity: someone keeps attending to the process after the advertisement goes live.

The bill arrives monthly

As checked in October 2026, Quickstart costs $249 a month for up to three active postings. Growth costs $549 for up to six, adding candidate texting, custom screening, dedicated support, payroll integrations, and analytics. Concierge has custom pricing. Extra jobs and locations cost more; sponsored advertising, background checks, and optional phone screens can also expand the bill. The commercial model is a subscription for employers, rather than a placement fee for each hire.

For a business hiring repeatedly, the practical question is how much administration the package removes. For an occasional vacancy, the monthly cost may be harder to justify. And if the underlying offer has unattractive pay or an impossible schedule, wider distribution merely makes the problem more visible. Software can organize a search. The employer has to offer a job somebody wants.

When hiring stopped, the advice continued

The pandemic exposed a dependence in the model: customers could stop hiring. Wizehire’s 2022 announcement describes expanding support to business-relief resources and launching a free service so owners could reconnect with past applicants when hiring resumed. The response broadened what help meant. Its announced financing followed: $7.5 million in 2021, then $30 million in May 2022, bringing the total to $37.5 million.

In 2026, the company added asynchronous phone screens and launched Jobs by Wizehire on ChatGPT. Candidates can complete screening on their own schedules; employers review recordings and transcripts. The ChatGPT app supplies another route to discovering open jobs. These additions target separate sources of delay: finding someone, reaching them, and arranging the first conversation.

Payroll opens a bigger door

On September 23, 2026, Wizehire announced it had joined Paychex. Paychex introduced WISE Hire the same day, available independently and within its HR platforms. Wizehire says existing customers can continue separately without becoming Paychex customers. Its homepage now reports more than 20,000 businesses and 400,000 hires. Those are company totals, while access to Paychex’s customer base is an opportunity still to be converted into usage.

The lesson an owner can copy is modest: define the role, make evaluation consistent, reply to candidates, and assign responsibility for the next step. Wizehire packages those habits with software and people. Whether a business buys the package or assembles its own process, a vacancy needs an owner. Otherwise, the inbox gets promoted and nobody gets hired.
