UpdateAI Beat Gong, Then Gainsight Bought It

The post-sales notetaker that customer success managers swore by went head-to-head with the giants, won a loyal following, and got absorbed into Gainsight's AI push in July 2025. Here is how a discovery interview turned into an acquisition.

Every meeting-notes startup in the last three years built the same product for the same person: the salesperson trying to close. Record the call, summarize it, push the summary into the CRM, help the rep hit quota. UpdateAI looked at that room and walked out of it. It went and found the person who inherits the customer after the deal closes - the customer success manager - and built for them instead.

That single decision is the whole story. In July 2025, Gainsight, the company that arguably invented the customer success software category, acquired UpdateAI. Founder Josh Schachter became SVP and General Manager of Atlas, Gainsight's AI platform. The deal even swept up his podcast. For a company that raised only about $4 million and never became a household name, it is a clean, unglamorous win - the kind that happens when you pick a narrow market and refuse to leave it.

01 / The wrong idea firstThe pitch that worked before the product did

Schachter did not start with customer success. He did not really start with a product at all. His background was product management - roughly fifteen years across eHarmony, NFL.com and Intuit's QuickBooks, plus a stint consulting at Boston Consulting Group. What he kept noticing, in his telling, was smart teams drowning in their own information and quietly falling out of alignment with each other.

So the first hypothesis was vague and big: help high-performing teams communicate better. He took that to Bill Gross, the founder of Idealab, the Pasadena studio that has been spinning out companies for more than 25 years. Gross's answer, according to Schachter, was immediate.

"I'm in!" Bill Gross, on hearing the first pitch

Read that honestly and it is a little uncomfortable. The investor committed before the idea was good, because the investor was buying the founder. That is how a lot of studio-incubated companies actually begin - not with a validated market but with a person someone trusts, handed enough runway to go find one. The market came later, and it came from a place Schachter did not expect.

02 / The interview that changed everythingFinding the seat no one built for

The turn happened in discovery interviews. Schachter kept talking to customer success managers, and the pattern was hard to miss: these were people doing tedious, manual, unglamorous work - and that work moved the numbers executives cared most about, gross revenue retention and net revenue retention. High stakes, low tooling. Every dollar of expansion and every prevented churn ran through them, and they were stitching it together by hand.

That gap became the product. UpdateAI stopped trying to help everyone communicate and started serving one role completely. It joined the Zoom call, produced a structured recap - action items, risks, product feedback, decisions - and, critically, it did not treat each meeting as a standalone artifact. It watched the whole account over time.

The feature that made customer success teams stick around was cross-account theme detection. Instead of tagging conversations by hand, UpdateAI clustered signals across every customer automatically. If the same pricing objection showed up in ten accounts, or the same missing feature kept surfacing before renewals, the pattern appeared without anyone building a tracker for it. It also generated stakeholder profiles - inferring who the decision-maker was and how they liked to be communicated with - and auto-populated sales frameworks like MEDDIC and SPICED straight from the call.

None of this lived on an island. It synced to Salesforce and HubSpot, so the insight landed where the work already happened. That is the boring, correct instinct of vertical software: go to where the user already lives, do not ask them to come to you.

Generic notetaker

Illustrative: most tools summarize a single call. UpdateAI's bet was tracking the whole customer relationship over time - the unit that actually predicts churn.

03 / Going at the giantsThe claim, and what to make of it

Schachter is not shy about the competitive record. His line is that UpdateAI "went head-to-head with industry giants like Gong.io and won." Take that as a founder's framing rather than a market share report - Gong is a very large company and UpdateAI was not. But there is a real point underneath the bravado.

"UpdateAI went head-to-head with industry giants like Gong.io and won." Josh Schachter, founder & CEO

Gong and most of its peers compete on the sales call and on transcript quality. UpdateAI competed on what the transcript was for, and for whom. Same raw input - a recorded meeting - and a completely different product on the other side. When a category leader is optimizing for the loud, well-funded seat, the quiet adjacent seat is often wide open. UpdateAI walked through that opening. The broader field it sat in - Whatfix, Planhat, ZapScale, SmartKarrot, Apty - is a reminder that customer success software rewards focus over breadth. Trying to serve every post-sales workflow at once is how you end up serving none of them well.

04 / The podcast came with the dealAn audience on the balance sheet

Here is the detail most acquisition write-ups skip. When Gainsight bought UpdateAI, it also bought [Un]churned, the podcast Schachter co-hosted with Jon Johnson and Kristi Faltorusso. By then it had 156 episodes and a genuine following inside the customer success community.

That is worth sitting with if you build anything. The community was not a marketing afterthought bolted onto the product - it was an asset, and it had value on its own when the company changed hands. Gainsight did not just acquire a summarizer and a few engineers. It acquired distribution and trust in the exact audience it wanted to reach.

05 / Systems of record to systems of actionWhy Gainsight actually wanted it

The strategic logic on Gainsight's side is a phrase Schachter keeps returning to: enterprise software is moving from systems of record to systems of action. For two decades the winning products were places to store the truth - the CRM, the ticketing tool, the success platform. The next generation is expected to take action on that truth, not just hold it.

Gainsight is branding that shift Atlas, its agentic AI platform - AI that does not stop at a summary but goes off and does something across connected systems. UpdateAI is a small, sharp example of the leading edge of it: a tool that already turned conversations into signals, now folded into a platform trying to turn signals into autonomous action. Schachter, having validated both the buyer and the workflow, became the person running it.

06 / The unglamorous versionWhat you can actually take from this

Strip away the acquisition headline and the takeaways are usable. Pick the narrowest painful workflow and own it completely. Serve the overlooked role, not the loud one - the seat measured in retention was more open than the seat measured in new logos. Integrate where the work already happens rather than asking people to switch tools. Build the community as an asset, not a billboard. And be honest that "overnight" wins run on years of quiet risk - Schachter has publicly credited his parents for the safety net and his wife for the patience, which is the part of the founder story that rarely makes the press release.

UpdateAI is not a rocket ship. It is a well-aimed arrow. Roughly $4 million in, five years of work, one acquisition, and a GM title on the platform that swallowed it. In a market loud with AI notetakers all pointed at the same buyer, the company that turned left - toward the customer success manager nobody was serving - is the one that got bought.
