Teamtailor Makes Hiring Feel Less Like Filing

This Swedish ATS puts the career site and the candidate experience in the same room as the hiring pipeline. The result is unusually friendly recruiting software, with one grown-up catch: you have to ask what it costs.

Teamtailor is for the hiring team that has seen what a vacancy looks like from the other side. The candidate opens a stiff page, meets a wall of fields, uploads a résumé, then hears the corporate equivalent of a dial tone. Teamtailor’s wager is simple: the front door matters as much as the filing cabinet. It joins a branded career-site builder to an applicant tracking system, then adds messaging, automation, analytics and onboarding so the handoff does not dissolve into a dozen tabs.

That makes it an appealing fit for growing companies with an actual point of view about work. In-house recruiters, people teams and employer-brand leads get the most obvious value. Hiring managers matter too. Teamtailor permits unlimited users on its standard pitch, while roles, templates and stage restrictions can keep broad participation from becoming an accidental tour of everyone’s personal data.

SHORT VERSION: WARM FRONT DOOR, SERIOUS BACK ROOM

A small team that hires twice a year may be buying a grand piano to play one note. A large enterprise with intricate approvals, deep workforce planning and a warehouse of custom reports should stress-test the edges. Between those poles sits Teamtailor’s natural audience: companies hiring often enough to need discipline, but still keen to look and sound like themselves.

The pink balloon grew up

Erik Andersson, David Wennergren and Richard Tifelt started Teamtailor in Stockholm in 2013. An early company photo had eight people and an office dog. The annual photograph eventually needed a drone. The company now says it has more than 500 co-workers and serves over 13,000 companies in more than 90 countries. Its LinkedIn page places the workforce in the 501 to 1,000 range.

The origin still shows. Teamtailor presents recruiting as a company-wide craft rather than a guarded HR database. Its careers site says the product group works in eight-week cycles, and the release log backs up the sense of motion. In 2025 it added onboarding, offer e-signatures, expanded localization, a rebuilt career-site editor and Ask Co-pilot. By July 2026, recruiters had a unified active-applications view and WhatsApp conversations inside the platform.

What you are really buying

The feature list is long, but the product makes more sense as one loop. You attract people with a responsive career site, job campaigns and employee stories. Visitors can apply or join a talent pool through Connect. Recruiters move applications through custom stages, while colleagues leave notes, use interview kits and scorecards, schedule meetings, approve offers and trigger the next action. Reports show where candidates came from and how they moved. Once somebody says yes, onboarding keeps the welcome in the same system.

01

Build the shop window

Create branded career pages and campaigns without handing every edit to a web team. Localization now covers more than 50 languages.

02

Run the hiring room

Custom pipelines, candidate cards, evaluations, restricted stages and comments give recruiters and managers one shared record.

03

Keep the conversation alive

Templates, bulk email, SMS, chat, nurture campaigns, Connect and WhatsApp cover active applicants and people who are merely curious.

04

Automate the chores

Triggers can send messages, move candidates, assign work and hand data to assessment or HR tools at a chosen stage.

05

Read the trail

Pipeline, audience, job, team and custom reports turn the process into something a recruiting lead can inspect and improve.

06

Finish the welcome

Offer approvals, e-signatures and onboarding reduce the awkward gap between “you’re hired” and the first morning.

Co-pilot sits beside the recruiter

Teamtailor’s AI suite uses OpenAI’s GPT models, according to its support documentation. Co-pilot drafts job ads and candidate messages, suggests interview questions, summarizes résumés and recorded meetings, surfaces existing people from the talent pool, screens against criteria and answers questions about candidates. A May 2026 release added natural-language chart creation: describe the report and Co-pilot builds it.

The sensible detail is administrative control. A company administrator activates Co-pilot, then chooses which features are enabled. Buyers should still ask practical questions about retention, subprocessors, regional processing, human review and the effect of the EU AI Act on their uses. Teamtailor publishes responsible-AI and security material in its trust center. Recruitment decisions remain the employer’s responsibility, however polished the summary.

The reviews agree on the pleasant bit

Independent review sites form a consistent picture. In the snapshots checked for this guide, Teamtailor held 4.6 out of 5 on both G2 and Capterra. Capterra showed 4.7 for ease of use and customer service. G2’s recurring positive themes included ease, support, interface and collaboration. Recurring complaints included limited customization, missing features and glitches. One Capterra reviewer liked the collaboration tools and interview booking but said colleagues found the product hard to use as an external agency.

Reddit is naturally scruffier. Recruiters recommend Teamtailor in some ATS threads and toss it into the bin in others. That disagreement is useful. ATS preferences are shaped by hiring volume, reporting habits, business geography and scars from the previous migration. A beautiful career page will not rescue the wrong process model.

The price is behind a curtain

Teamtailor publishes no list price, free plan or tier grid. The pricing page asks buyers to request a quote and advertises unlimited job postings, unlimited users, support for all users, integration with an existing HR stack and more than 250 features. Its add-on documentation also distinguishes features available at no extra cost from those carrying additional cost. That means the number on the proposal is only useful beside a precise inclusion list.

Ask for implementation, data migration, career-site setup, training, API access, integrations, message costs, AI allowances, onboarding, premium support, contract length, renewal caps and exit assistance in writing. Run the quote at today’s headcount and the headcount you expect in two years. Unlimited users can be valuable when a rival charges per seat, but only the complete contract makes that comparison honest.

Shortlist by philosophy, not logo

ProductPut it on the shortlist when...Pressure-test...
TeamtailorEmployer brand, candidate experience and broad hiring-manager adoption are central.Quote detail, complex reporting and edge-case workflows.
GreenhouseYou want structured hiring discipline and a mature enterprise ecosystem.Administration, career-site freedom and total cost.
AshbyAnalytics, planning and fast-moving recruiting operations drive the decision.Fit for casual hiring managers and your employer-brand workflow.
LeverCandidate relationship management and nurture sit beside applicant tracking.Reporting requirements and implementation scope.
WorkableSourcing reach and an approachable generalist workflow matter.Customization as complexity grows.
RecruiteeCollaborative European recruiting and accessible automation are priorities.Modules, reporting and enterprise governance.

This is a decision lens, not a scorecard. Competitor capabilities change quickly and every serious shortlist deserves the same scripted tasks, the same sample data and the same people in the room.

How to demo it without wasting an hour

Bring one real vacancy, one awkward approval rule and one reporting question. Have a recruiter build the job, a hiring manager review a candidate, and a marketer change the careers page. Then ask a candidate to apply on a phone. The friction you observe is worth more than a parade of preconfigured screens.

  • Recreate your messiest pipeline, including permissions and exceptions.
  • Send a rejection, reschedule an interview and find the audit trail.
  • Build the monthly report your leadership already expects.
  • Export sample candidate and job data through the API or standard tools.
  • Check the mobile experience for candidates and occasional hiring managers.
  • Get every paid add-on and renewal assumption onto the proposal.

Technical teams have useful doors. Teamtailor’s open API follows the JSON:API specification, offers scoped read and write keys, and runs regional endpoints for Europe, North America and Asia-Pacific. Partner webhooks can be authenticated with signatures. Public procurement documentation says the service is hosted on AWS and uses Datadog and Sentry for monitoring. The trust center lists ISO 27001, ISO 27701 and SOC 2 Type 2 assurance. Security buyers should request the current reports rather than treating badges as a completed review.

Buy the behavior, not the feature count

Teamtailor’s appeal is less about owning 250-plus features than connecting a presentable candidate journey to a hiring workspace people will open. It deserves a shortlist when employer brand has budget, hiring managers need gentle software, and recruiters want fewer handoffs. Teams that prize unusually deep analytics or intricate governance should make the demo work harder. Everyone should make the salesperson reveal the whole price.

Quick answers

What is Teamtailor used for?

It publishes career sites and jobs, manages applicants, coordinates interviews and decisions, automates communication, reports on hiring and onboards successful candidates.

Does Teamtailor publish its price?

No. Pricing is custom and quote-only. Buyers should request an itemized proposal covering implementation, integrations, add-ons, usage and renewal terms.

Is there a free plan?

Teamtailor does not advertise one. Ask whether your buying process can include a trial or sandbox with realistic data.

Does it have mobile apps and an API?

Yes. Teamtailor supports iOS and Android apps and offers a scoped JSON:API interface with regional endpoints.

Who should look elsewhere?

Very occasional hirers may not need the breadth. Organizations with demanding analytics, agency workflows or complex enterprise controls should compare the relevant tasks directly with Greenhouse, Ashby, Lever, Workable, Recruitee and other finalists.
