The Customer Communications Stack Has Split in Two

Newgen, Messagepoint, Braze, Doxim, Windward Studios and MHC all help companies speak at scale. The useful question is not which platform wins, but which kind of communication you are actually trying to run.

A bank statement, a food-delivery push alert and an insurance renewal letter share a deceptively simple job: tell a customer something. Put them inside a large company, though, and they become different species. One is a governed record assembled from account data. One is a fleeting intervention triggered by behavior. One may need legal language, an audit trail, accessible output and a paper copy. Calling all three “customer communications” is accurate in the same way that calling a bicycle and a freight train “transport” is accurate. It is true, and not very useful when you are shopping.

That is the puzzle behind a list containing Newgen Software, Messagepoint, Braze, Doxim, Windward Studios and MHC. Every name can plausibly appear in a conversation about communicating with customers at scale. They do not, however, begin from the same problem. The market has developed a fault line between communications built as governed documents and communications orchestrated as live customer moments. A third, narrower route embeds document generation directly into another product.

First, name the thing that cannot fail

Traditional customer communications management, or CCM, grew around correspondence that carries operational weight: statements, bills, policies, notices, explanations of benefits and service letters. The work is less glamorous than a campaign canvas, but the consequences are stubborn. Content must pull from the right systems, apply the right rule, use the approved clause, render correctly and reach the customer through an allowed channel. When a regulation or rate changes, someone needs to know which communications are affected.

Customer engagement platforms begin elsewhere. Braze describes a real-time system that unifies and activates customer data, builds segments, orchestrates journeys and delivers across email, mobile, web and other digital touchpoints. Its natural unit is the evolving customer interaction. The platform watches behavior, decides what should happen next and helps teams test whether that decision worked.

An enterprise may need both lanes. A late-payment event could trigger a regulated notice from a CCM system and a timely mobile reminder from an engagement platform. The customer experiences one conversation. The company may sensibly use two engines, provided data, consent and delivery status move cleanly between them.

Six products, four different starting points

Newgen places customer communication inside NewgenONE, a broader platform that brings together content, process automation, low-code development and communications. Its CCM materials emphasize centralized templates, content blocks, business rules, workflow and channels including email, SMS, print, portals, chat and mobile apps. That breadth matters when the correspondence is one stage in a longer process such as lending, onboarding or claims.

Messagepoint is more concentrated on the communications estate itself. Its cloud platform separates reusable content from channel-specific layouts and gives business users tools to author, manage and compose across print and digital channels. MARCIE, its AI layer, is presented as assistance for content quality, translation, migration and increasingly automated CCM operations. The company says the controls include roles, permissions and defined use cases. Messagepoint’s 2026 acquisition of Sefas also extends its footprint into enterprise communications processing.

Doxim couples software with technology-enabled managed services. It explicitly serves financial services, utilities and healthcare, and it operates physical and digital delivery across North America. This is a meaningful architectural choice. If print and mail remain operational requirements, a vendor that owns more of the delivery chain is solving a different problem from a pure software layer.

MHC’s NorthStar CCM covers composition, personalization, workflow and omnichannel delivery, with cloud, on-premises and hybrid options. Its materials emphasize regulated industries, open integration, accessibility checks, batch and on-demand output, and business-user control. MHC says its CCM customers produce about one billion pages a year across more than 50 countries. Those figures signal where the product expects to live: inside high-volume operations where a page is still a unit of work.

Windward Studios represents the embedded-document route. Its familiar move was to let people design data-powered templates in Microsoft Word, Excel or PowerPoint, then use an engine inside an application to generate outputs including PDF, HTML and Office formats. PDFTron acquired Windward in 2021. The owner, now called Apryse, later introduced Fluent using elements of Windward Core and iText DITO. Buyers should therefore evaluate the current Fluent product and roadmap, not treat the old Windward identity as a standalone vendor snapshot.

The demo should make the vendor slightly uncomfortable

Polished demos reward the happy path. A useful proof of concept recreates the annoying Tuesday afternoon: legal changes one paragraph, a source system sends incomplete data, a customer has chosen paper, and an operations manager needs to find which version went out. Bring a small but ugly sample of the real estate, including nested rules, reused content, accessibility needs and the least convenient output channel.

A five-part proof of concept

  1. Import or rebuild one representative communication, not a marketing postcard.
  2. Make a shared content change and show its downstream impact before publishing.
  3. Separate author, reviewer and approver roles, then inspect the audit record.
  4. Feed imperfect data and demonstrate validation, fallback and exception handling.
  5. Generate every required channel and compare the customer-facing result.

AI deserves the same discipline. Messagepoint describes AI-supported migration, authoring, translation and content operations. MHC offers generation, refinement and translation assistance. Newgen presents AI inside its larger orchestration platform, while Braze uses AI for campaign creation, decisioning and optimization. Those are different placements of intelligence. Ask what data the model can access, whether suggestions are grounded in approved content, where human approval occurs, how outputs are logged and whether the capability is available in the deployment you intend to buy.

Ownership is the final tell. If marketers must independently build and test responsive digital journeys, Braze speaks their operating language. If customer operations owns a library of consequential correspondence, Messagepoint, Newgen or MHC may feel more native. If the business wants software plus physical and digital execution in regulated sectors, Doxim’s managed model belongs in the room. If a product team needs document generation inside its own application, Fluent is the more direct question.

One voice does not require one box

Consolidation is attractive because customers do not care which department sent a message. Yet forcing every communication through one product can trade visible simplicity for hidden contortions. A better goal is a coherent system: shared identity and consent, clear ownership of content, reliable events, coordinated channel rules, and a record of what the customer actually received.

That reframes the purchase. The contest is not Newgen versus Messagepoint versus Braze versus Doxim versus Windward versus MHC in a single elimination bracket. It is a design decision about where governed content lives, where live decisions happen, who delivers the result and who can safely change it next week. The answer may be one platform. It may be two. Either is more defensible than buying the prettiest canvas and discovering, six months later, that the hardest message never fit.
