Ask a technical writer about the worst part of their job and, eventually, someone will describe a very specific horror. A product's safety warning changes. The wording has to be updated everywhere it appears: the PDF manual, the online help center, the quick-start card, the training deck, the label spec. It lives in forty documents. Nobody is quite sure it lives in forty documents. Someone will miss one. In a regulated industry, the one they miss is the one that shows up in court.
Paligo, a Swedish software company founded in 2015, built a business out of that specific dread. Its product is a Component Content Management System - a CCMS, in the acronym-heavy world of technical documentation - and its core promise is almost aggressively simple: write a piece of content once, store it as a reusable component, and let it appear wherever it is needed without ever being copied. Change it in one place, and it changes everywhere. The safety warning has exactly one home.
It is not a glamorous pitch. It is a durable one. Roughly 500 enterprise and mid-market companies now run their documentation on Paligo, in close to 40 countries, and the customer list reads like an airport departures board of serious institutions: Honeywell, Allianz, Fujifilm, Mitsubishi Electric, Sparta Systems, Sitecore, the European Commission.
Most companies manage documentation the way most people manage a garage: by putting things wherever there is room and hoping to find them later. Content lives in Word files, wikis, PDFs, and the collective memory of whoever wrote it. The moment a product has more than one version, more than one language, or more than one audience, that approach quietly breaks. The same instruction gets rewritten slightly differently in five places, and now the company has five subtly contradictory answers to the same question.
Structured authoring is the discipline that fixes this, and Paligo is a cloud-native tool for practicing it. Instead of writing documents, you write topics - small, self-contained chunks of content. Instead of formatting as you go, you tag content by what it is. A single topic can carry conditional text (show this paragraph in the pro manual, hide it in the lite version), variables (swap a product name across ten thousand words at once), and snippets (one canonical warning, reused everywhere). The content is stored in DocBook XML, an open standard, which matters more than it sounds: the words are not trapped in a proprietary format only Paligo can read.
That single-source-to-many-channels move is the whole trick. A support article, a printed manual, and a chatbot's answer can all draw from the identical governed component. When the source changes, every channel updates. The contradictions that plague garage-style documentation simply have nowhere to breed.
Paligo was founded by Anders Svensson and Frank Arensmeier, both of whom had spent years inside the technical-documentation world before deciding the software that world relied on was overdue for retirement. In the mid-2010s, serious structured-authoring tools were largely desktop applications - powerful, expensive, and about as collaborative as a filing cabinet. Svensson and Arensmeier bet that the whole category belonged in the browser, where teams could write together, review in real time, and publish without an IT project.
The bet was correct in the boring, expensive way that good infrastructure bets usually are. There was no viral moment. There was a slow accumulation of teams who tried it, stopped copy-pasting, and could not imagine going back. Arensmeier stayed close to the architecture as chief system architect; Svensson ran the company as CEO through its growth years.
Paligo sells the way most serious B2B SaaS does: subscriptions priced on author seats, storage, and how much you publish, sold across Professional, Business, and Enterprise tiers. The Professional plan starts around $4,800 a year; Business begins near $15,000; enterprise contracts have been reported anywhere from $25,000 to $150,000 annually depending on team size and content complexity. Third-party trackers peg annual recurring revenue at roughly $12 million with a team of around 90.
What makes the model quietly powerful is switching cost. Once a company has migrated years of manuals into structured components - with all their variables, conditions, and reuse relationships wired up - leaving is genuinely painful. Across its customer base, Paligo says it governs more than 3 billion words and roughly 1.5 million reusable components. That is not just usage. That is a moat measured in words.
Paligo does not compete in an empty category. Its most-cited rival is Heretto, a DITA-based CCMS that appeals to teams who want the portability of the DITA standard. On the help-authoring side sits MadCap Flare, long the default for shipping PDFs and help systems; Paligo leans into that rivalry by importing existing Flare projects directly, which lowers the cost of switching sides. Author-it, Adobe FrameMaker, and Oxygen round out the traditional field, while lighter tools like Document360 nibble at the simpler end of the market.
Paligo's positioning inside that crowd is specific: fully cloud-based, collaborative by default, built on an open XML standard, and aimed squarely at teams managing high volumes of complex, regulated content. It is the option for the company that has outgrown wikis and Word but does not want to run its own documentation infrastructure.
The most interesting thing about Paligo right now is not the product - it is the reframing. As every enterprise races to bolt an AI assistant onto its knowledge, a quieter problem has surfaced: the assistant is only as trustworthy as the content it reads. Feed a model contradictory, unstructured documentation and it will confidently hand customers the wrong safety warning. Feed it governed, single-source, structured content and it has something reliable to stand on.
Paligo has started describing itself less as a structured-authoring tool and more as a reliability layer - "the single source of truth" that "AI can actually trust." Its accumulated 3 billion governed words stop looking like storage and start looking like grounding data. In September 2025 the company named Rahul Yadav, a two-decade veteran of product transformation at Milestone Systems and TV 2 Danmark, as its new CEO effective that December, with an explicit mandate to push product innovation and what he calls an AI-native structured-truth platform.
Whether the AI framing turns Paligo into something much larger or simply gives its existing pitch a sharper edge, the underlying logic holds up. The companies with the cleanest documentation were always going to have an advantage. AI just made the advantage legible to executives who never cared about structured content before.
There is a version of the software industry that only rewards the visible: the apps people open, the interfaces people photograph. Paligo lives in the other version - the plumbing that no customer ever sees but every customer depends on. It solved a problem people were slightly embarrassed to admit they had, priced it for teams who felt the pain acutely, and stayed close enough to its users that the product still reads like it was built by technical writers, because it was.
Ten years in, that has added up to a real company: profitable-shaped revenue, a serious customer base, $29 million in growth capital, and a store of structured knowledge that would be difficult for anyone to replicate.
